About the Position A growing business in the environmental services, construction, field-service, and technical equipment industries is seeking a highly organized Project Coordinator / Assistant Project Manager. This position supports environmental and construction-related projects involving customers, field personnel, vendors, subcontractors, municipalities, permits, inspections, equipment, scheduling, and project documentation. This is a hands-on coordination role for someone who understands the pace of construction, trucking, field service, environmental work, or other vendor-intensive operations. The right person does not need to be an engineer, but must be comfortable keeping multiple projects moving, following up persistently, solving practical problems, and making sure important details do not fall through the cracks. Strong phone skills are essential. The person hired will regularly communicate with customers, vendors, subcontractors, municipal offices, inspectors, field employees, and internal managers. This includes making outbound follow-up calls, obtaining missing information, confirming schedules, and helping resolve issues that could delay a project. This is a full-time, in-office position located in Sparta, New Jersey. Responsibilities Coordinate project activity with internal managers, field employees, customers, vendors, and subcontractors Schedule jobs, inspections, field crews, trucking, equipment, materials, deliveries, and outside vendors Communicate with customers regarding scheduling, project status, documentation, and next steps Make outbound follow-up calls to keep projects, permits, inspections, and vendor commitments moving forward Answer project-related calls and respond professionally to customer, vendor, and field personnel questions Contact municipalities, township offices, inspectors, and government agencies regarding permits, approvals, and inspection requirements Prepare, submit, and track permit applications and supporting documentation Obtain pricing, availability, insurance certificates, and scheduling information from vendors and subcontractors Track open projects and identify delays caused by missing information, paperwork, approvals, materials, or scheduling conflicts Maintain accurate project notes, calendars, spreadsheets, reports, customer records, and electronic files Communicate project requirements and schedule changes clearly to field personnel Assist with purchase orders, proposals, invoices, change orders, and project closeout documentation Document important telephone conversations and follow-up commitments Escalate urgent customer, vendor, permitting, or scheduling issues to management when necessary Provide coordination and administrative support for equipment customers and related business operations as needed Qualifications Strong candidates will have experience in one or more of the following areas: Construction project coordination or construction administration Field-service scheduling or dispatch Trucking, logistics, or equipment coordination Vendor and subcontractor management Ability to read blue prints and construction plans Municipal permits, township approvals, or inspection scheduling Environmental services, excavation, septic, paving, utilities, HVAC, plumbing, or a related trade Project administration or assistant project management Proficiency in reading blueprints and developing accurate project estimates preferred. Required Skills At least two years of relevant coordination, administrative, operations, or project experience Strong phone skills and a professional, confident telephone manner Comfortable making frequent outbound follow-up calls Excellent organizational skills and attention to detail Ability to manage multiple open projects and priorities simultaneously Strong verbal and written communication skills Ability to communicate effectively with customers, vendors, municipalities, inspectors, office staff, and field employees Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, calendars, and electronic recordkeeping Practical problem-solving ability Dependable, responsive, and willing to take ownership of open issues Ability to follow tasks through to completion rather than simply passing information along Preferred Experience Experience working with municipalities, permits, utility mark-outs, inspections, or government agencies Experience coordinating construction or field-service projects Familiarity with QuickBooks, CRM software, scheduling programs, or project-management systems Experience preparing purchase orders, proposals, invoices, change orders, or closeout documents Experience communicating with technical customers or supporting equipment-based services Compensation and Work Location The salary range for this position is $60,000 to $75,000 per year, depending on experience.
